PDF export — draft, archive & signature
Condition reports can be exported as PDF — including annotations, detail photos, and the mapping. The important distinction is between draft, archive, and (planned) qualified signature.
Draft PDF
- Available anytime while editing — as often as needed
- Reflects the current text, damages, photos, and mapping
- Without integrity page / archive signature
- The report stays editable
- Typical use: internal review, preview sharing, template checks
Raster photos in downloaded draft PDFs follow the organization-wide image quality setting. The Admin live preview stays on Standard.
Archive PDF (integrity signature)
On finalization the report becomes read-only and an archive PDF is created:

finalized(mapping and form data locked) - Final PDF is generated (same template engine as drafts)
- The integrity page lists timestamp, author, role, report version, workspace, archive ID, and verification address
- Documentr stores a SHA-256 hash over the PDF content
- Stored as an archive record (download via Admin / API)
Finalized reports have a single PDF button in the web app: it downloads the archive PDF. If no archive exists (e.g. older reports), the preview is generated instead.
The archive PDF is tamper-evident: any change to the file shows up when it is verified. It is not a qualified electronic signature under eIDAS — it is Documentr’s integrity attestation. Embedded photos use the same image quality as downloads.
Verify an archive PDF
Anyone who receives an archive PDF can check it without an account:
- Open the verification address from the PDF’s integrity page
- Select the PDF. The file is checked in the browser only and is not uploaded.
- Result:
- Unchanged: the file matches the archived report exactly (with version, finalization date, person, and organization)
- Modified: the file differs from the archived report
- Not found: there is no archived report for this file
Qualified signature (eIDAS) — planned
Professional/Enterprise targets a cryptographic signature via an external trust service (eIDAS-aligned). That is legally distinct from the archive integrity signature and requires a qualified provider integration.
